BMJ4043 : Executive Assistant/PA - Bolton
Salary: £22,000 - £26,000 per annum

The Executive Assistant/PA will be responsible for providing excellent secretarial and administration services to the Director team, managing all duties within the Front Office Administration function. Oversee the day-to-day activities of the Team Secretary in their duties supporting all departments. Ensure excellent customer service by developing procedures in line with company goals, strategy and values.
- Secretarial duties for five Company Directors including typing of letters, reports, compiling presentations, photocopying etc.
- Organising diaries and travel arrangements for the Directors, eg flights, trains and accommodation bookings, meetings etc
- Arranging Reception cover where necessary.
- Overseeing work of Team Secretary and providing guidance and support.
- Oversee corporate clinical induction administration, including joining instructions to candidates, arranging hotels, ordering chocolates, and ensuring Team Secretary's preparation of session documentation
- Tight control of reviewing and updating general information on shared- Tight control of reviewing and updating general information on shared drive, expanding/improving on the information provided
- Management of meeting room booking systems
- Ad hoc projects as requested by the Directors, HR and Business Development
- Review policies and procedures within the Administration function and make recommendations for improvements.
- Liaise with Procurement to organise all types of printed stationery within cost boundaries including letter headed stationary, compliment slips and company manuals and documentation as appropriate.
- Cover switchboard and other duties for the Team Secretary as and when required, during lunches and post times etc.
- Maintain holiday records for Directors and Management as appropriate.
You will have good experience in a similar Senior PA role and have a ability to create high quality documents is essential. You will be highly credible with a professional outlook communicating at all levels within the organisation. You will be able to type at a minimum of 45 words per minute. You will have an excellent knowledge of Word (including mail merge), Excel, PowerPoint, Outlook and the internet. Experience of supervising/managing a receptionist or administration staff would be highly advantageous.

You will need to be able to balance a diverse workload ranging from management of highly confidential information for the Director team to undertaking day to day operational tasks to facilitate the smooth running of the front office function.
