Following internal restructure an opportunity has arisen for a graduate to join a busy sales department.

Working for a local well established company there is a strong possibility of a permanent placement.

Previous administration experience and excellent IT skills are essential along with good time management.

 This is a varied and interesting role duties are detailed below.

 Contract Support

  • To review Contract/Tender publications & websites in order to identify business opportunities.
  • Producing letters, memos, reports and presentations using word processing applications.

Sales Support

  • Management expenses system on behalf of UK business.
  • Prepare weekly sales report and forward to relevant personnel. Produce sales reports for Territory Managers and distribute to team allowing them to view their sales periodically.
  • Respond to internal/external sample and literature requests and log as necessary/ email to relevant Territory Manager to enable timely follow up of all enquiries.
  • Record holidays & absences and submit weekly absences to HR.
  • Log receipt of expenses/call reports/activity sheets and update TM monthly report with scores to provide a record for National Sales Manager.
  • Carry out audits when required to assist Territory Managers and interact with customers.

Report Management

  • Update Excel early warning and competitor reports with feedback from territory Managers and distribute to sales and marketing teams, ensuring that competitor activity is documented.
  • Run and Print Daily Orders Report from Impromptu.
  • To undertake simple price comparison/analysis exercises using Microsoft Excel spreadsheets.
  • Forecast process – support and attend rolling forecast & weekly forecast meeting as appropriate and distribute reports as required

Senior Management

  • Maintain stationary stocks and monitor stationary spend versus budget. 
  • To organise a range of internal and external meetings including Sales and Marketing Meetings and Conferences, hotel bookings and external speakers.
  • Managing travel arrangements for various members of the UK team.
  • To provide a confidential administrative support to the UK Director, including:
  1. Organising meetings, compiling agendas, taking and transcribing minutes
  2. Call screening and handling where appropriate
  3. Building and maintaining an effective filing system
  4. Receiving correspondence, handling where appropriate
  • To undertake research on behalf of the UK Director, UK Business Manager and National Sales Manager collate information and translate that information into professional reports and presentations.
  • To follow up actions delegated by the Director to various individuals and keep the Director informed of progress..
  • Provide some administrative support to UK Business Manager and National Sales Manager.

Adhoc Support

  • As required for Sales and UK Management team as required (National Sales Manager/CCD Manager/UK Business Manager).
  • To Sales personnel as required.
  • Cover reception should receptionists/customer care personnel be unavailable.
