This role will be front of house on a very busy HR/ People and OD department, it will involve dealing with a high volume of face to face queries alongside some telephone calls and supporting admin the HR team.

What will you be doing as a Support Receptionist Assistant?

  • To be the first point of contact for all enquiries and services providing front of house support for the P&OD department
  • Meeting and greeting visitors dealing effectively, promptly and courteously with their enquiry, directing them providing a consistent and high standard of customer service
  • Manage the delivery of prompt and accurate responses to general enquiries and requests for advice and information, sign post other sources of information as appropriate this could be via face to face, telephone, email or by MS Teams Chat notifying the relevant team
  • Ensuring the Reception area is maintained at all times, advising of cover requirements and assisting with the training of reception cover staff
  • Ensuring that the purchasing needs of the department are fulfilled including stationery, refreshments, office equipment etc.
  • Ordering in accordance with university procedures as appropriate using Oracle Financials system, creating receipt confirmations on delivery under the guidance of the set-up requisitions and purchase orders for goods and services
  • Issuing staff identification cards, ensuring that stock is properly maintained and printing supplies are available. Checking prior to issue that they met the criteria and have been set up correctly, including RTW (Right to Works), Visas and DBS. Signposting and notifying the relevant team to action and in their absence support any urgent requests saving documents to staff file
  • Triage of the P&OD Operations email in-box, promptly responding or moving to the correct team to action
  • Dealing with general telephone calls to the main Reception queue and forwarding as appropriate via the Horizon telephone system
  • Assisting the HR Support Manager to ensure that the P&OD Services Offices are secure, well maintained and supplied, liaising with colleagues in IT and Estates and external suppliers as required; ensure that visitors to our Reception areas feel safe and welcomed

We would LOVE to hear from you if you have the following skills and experience:

  • Previous reception , front of house or admin experience
  • An interest or experience in supporting a hr department would be desirable however is not required
  • Strong admin experience good knowledge of MS Packages
